Function Room Terms & Conditions

Your booking is provisional until we receive a deposit. A £100 deposit must be paid within 7 days of your request to confirm and secure your date — until then, your date may still be given to someone else.

This deposit counts towards the total cost of your room hire, so it's not an extra charge on top — it simply needs to be paid up front to lock in your booking.

Payment details will be provided upon request.

If your event goes ahead and the function room is left in good condition — clean and free from damage beyond normal wear and tear — your deposit is refunded after the event.

Any damage or extra cleaning required may result in a deduction from your deposit.

If you cancel your booking, the £100 deposit is non-refundable. Please let us know as early as possible if your plans change.

Any booking changes, including date changes, must be communicated as soon as possible.

We’ll do our best to accommodate changes, but availability is not guaranteed.

All events must follow Aldwinians RUFC’s policies and regulations.

Please ensure your guests comply with our guidelines to avoid any additional charges.

Only our in-house catering may be used for food at your event — outside catering is not permitted.

You are welcome to decorate the room for your event. Please only use:

• White tack
• Non-adhesive sticky tape
• Drawing pins

Do not use Blu Tack, Sellotape, or other adhesives that may damage paintwork or surfaces.

Failure to comply may result in a deduction from your deposit.
